How to add a reservation:

From the Playtomic Manager Schedule, you can easily set up a reservation by clicking on any available time slot on your court calendar.

A new window will appear, prompting you to enter the following details:

• Activity Type: Select Regular booking. If you want to create a recurring reservation, choose Recurring reservations from the menu instead.
• Start and End Time of the reservation.
• Court selection.
• Payment Type: Choose between Split or Single Payment.
• Price: The platform automatically retrieves the price based on your pricing configuration.
• Owner and Participants: You can add participants by searching for a registered user, or you can add guests by selecting "Guest user”. To find an existing user, type their name next to the magnifying glass icon. To create a new user, click on the magnifying glass and then on "+ New Customer."
• Payment Method for participants.

You also have the option to add public or private notes to the reservation, though this is optional.

How to add a free reservation:

If the club needs to make a reservation at no cost for the participants, follow these steps.

Reservation prices are usually calculated automatically based on your pricing settings. If you want to adjust the price or make it free, go to the reservation, click on Edit Price, and set the price to 0.

🚨 Note: Even if the price is 0, you still need to select a payment method and mark the reservation as Paid. Otherwise, it will remain Unpaid. Also, for 0 fees, if you register the payment with any on-site method, the system will display it as paid “Online” in the booking details and in the payments list.

Private bookings (casual vs competitive)

Private reservations created by the club in Playtomic Manager are confirmed as competitive by default.

Once the reservation is confirmed, the booking owner can choose to play it as casual or keep it competitive directly from the Playtomic app. This change can only be made by the booking owner.
