How to Add and Remove Players in a Private Reservation

This guide walks you through how to manage participants in a reservation directly from Playtomic Manager.

How to Add a Player

  1. Go to Schedule and find the reservation, then click on it to open the booking details
  2. Under Participants, add the new player:
    • If the player is already registered in your Playtomic Manager, just type their name to find and add them
    • If the player has a Playtomic account but isn't in your Playtomic Manager yet, search by their email address or phone number
    • If the player doesn't have a Playtomic account, add them as a guest
  3. Click Save Changes

⚠️ Always double-check you're adding the right person. Player data is sensitive — adding the wrong account can lead to disputes.

How to Remove a Player

  1. Go to Schedule and open the reservation
  2. Find the three dots (⋮) next to the player's name and click Remove from booking

A few things to keep in mind:

  • You cannot remove the booking owner (the first player in Team A) from a reservation
  • If the player paid through the app, the refund is processed automatically
  • If the player paid at the club, you are responsible for issuing the refund directly

Important Considerations

🎾Payment type matters when adding players: Reservations can be set to Split Payment (each player pays their share) or Single Payment (the owner pays everything). Make sure the payment setup matches what's agreed before adding participants.

🎾Register payments at the club straight away: If a player pays at the club, mark it as paid immediately in Playtomic Manager. If not registered within 2 hours of the match ending, the system may automatically trigger a charge to the booking owner, which can be tricky to reverse.

🎾Guests still need payment tracking: If you add players as guests, make sure to track their payment manually. Unassigned unpaid shares can cause issues after the match.

🎾Free bookings still need to be closed: Even if the price is set to €0, you still need to select a payment method and mark it as paid — otherwise it may remain flagged as unpaid. Free payments are recorded in Playtomic Manager as paid via the Online payment method.
