Playtomic Manager is designed to enhance your club management experience. This guide will help you efficiently organize various activities at your club using the Academy feature.
Academy Section:
In the Academy section, you will find and you will be able to manage:
1. Private Classes
- Visibility: Visible to players in the app.
- Management: Can only be managed and edited at your club.
- Registration: Players can register for the class from the app if you have enabled “Online Private Classes” from your Playtomic Manager. You can learn more about private classes here.
- Cancellation: Players can cancel in the app, as long as they are within the club’s cancellation policy.
2. Public Classes
- Visibility: Visible in the app for players to join and pay online.

3. Courses
- Definition: A set of classes or a series of classes that take place over several months.
- Info: Learn how courses work here.
4. Coaches
- Purpose: Create a coach profile to manage the coach’s availability for classes.

Academy Reports
In the Academy section, you will see a tab called "reports" from which you will be able to check this data:
- Classes per Coach: This report shows the total number of private and course sessions conducted by each coach.
- Hours per Coach: This report provides the total number of hours spent by each coach on private classes and courses.
- Coach Revenue: Displays the full amount of revenue generated by each coach from private and course classes. The data is based on the class due date.
- Paid Coach Revenue: Shows the total amount paid by participants for private lessons and courses per coach. This report is based on the date when the payment was made.
- Active Course Participants: Lists the players currently enrolled in ongoing courses.
- Inactive Course Participants: Provides a downloadable list of participants who are no longer attending courses.
Academy Settings
💡In this tab, you can decide whether players are allowed to unsubscribe from courses in the app.
💡You can also set the enrollment cancellation policy for courses. This will be the default policy for all courses.
⚠️Keep in mind that you can set a different cancellation policy for a specific course when you create it. If you do, the course-specific policy will override the default one set in Academy > Settings.
