Create and Manage a course

With Playtomic Manager, you can easily create and manage courses for your Academy. Players can sign up and pay for the full course or individual classes directly through the Playtomic App.

How to Create a New Course?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. Click Create Course.
4. Fill in the General Information and click Continue.
   💡 You can enable player enrollment from the app here or adjust this setting later.
5. Set Level Restrictions and click Continue.
6. Enter the Price Details for the full course and single classes, then click Continue.
7. Add a Description as Additional Information and click Continue.

Once the course is created, you can start setting up the individual classes.

How to Create Classes for a Course?

1. Go to the 🎓 Academy section.
2. Move to the Classes tab and click Set up classes.
3. On the schedule, click the slot where you want to create a class.
4. Select the courts, recurrence, and set the start/end times and dates.
5. Click Create.

🗒️ Note: You can also create a class directly from the schedule by selecting a slot, clicking the drop-down menu and choosing Course class. Then follow the steps from above.

How to Copy a Previous Course?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. Find the course you want to copy.
4. Click the 3 dots on the right and select Copy course.
5. Update the General Information, Level, Prices, and Additional Information for the new course, then click Save.

💡 Note: Participants and classes are not copied.

How to Add Participants for a Course Manually?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. In the Courses list, click on the course name.
4. Go to the Participants tab.
5. Click Add participant.
6. Search for the customer and fill in their information.
7. Click Save.

How to Remove Participants From a Course?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. In the Courses list, click on the course name.
4. Go to the Participants tab.
5. Find the Participant you want to delete.
6. Click the 3 dots on the right and select Cancel Participant.

💵 If the course hasn’t started, the payment will be automatically refunded. For ongoing courses, you will need to process a manual refund.

How to Edit Course Details?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. In the Courses list, click on the course name.
4. Go to the Settings tab.
5. Make the necessary changes and click Save changes.

From this screen, you can also allow players to enroll or unsubscribe from courses via the Playtomic app, reducing your manual work.

How to Cancel a Course?

1. Go to the 🎓 Academy section.
2. Click on the Courses tab.
3. In the Courses list, find the course you want to cancel.
4. Click the three dots on the right and select Cancel course.
5. Confirm cancellation in the pop-up window.

⚠️ If you cancel a course, all upcoming classes will be deleted and cannot be recovered. If the course hasn’t started, payments will be refunded automatically. If it has started, you will need to process a manual refund.
