How to Create and Manage Private Classes Online
Before creating a private class, you'll need to set up a coach profile and manage their availability. For more details, refer to this article.
How to create a private class
- Go to the Schedule menu and click on a time slot.
- Select Private Class from the list of activities.
- Fill in the required details:
- Coach: Select the coach from the dropdown. The system will notify you if the coach is unavailable.
- Start/End Time: Adjust if needed.
- Court: Change if necessary.
- Price Calculation: Choose automatic or manual price setting.
- Participants: Add players.
- Payment Method: Select payment at the club or leave unpaid for online payment.
- Click Create. The class will appear in both the schedule and the coach's calendar.
How to edit a private class
Click on the class in the schedule to open it and see its details.
From here you can:
- Reschedule.
- Change the coach.
- Add or remove participants.
- Modify the price (unpaid fees only).
- Cancel the class using the grey trash icon.
You cannot:
- Edit player details.
- Change the price once marked as paid.
⚠️Note on removing participants: A class must have at least one participant at all times. If there is only one player, you won't be able to remove them — you would need to cancel the class instead. Once a second player is added, removing one of them becomes possible.
Private class cancellation policy
- Players can cancel their participation directly in the app, as long as it falls within the club's cancellation policy (the same policy that applies to private bookings).
- Clubs have more flexibility and can cancel a class from Playtomic Manager at any time — including past or already-started classes.
How to enable online private classes
Before enabling online private classes, you'll need to define your coaches' prices for 60-minute classes:
- Go to the Academy menu and click on Coaches.
- Click on the coach you wish to edit prices for.
- Click on Pricing.
- From there, click and drag on the calendar (the same way you'd create a booking) to open the pricing window and set the prices.
Important reminders
- Cancel classes if the minimum number of participants isn't met — this is not done automatically.
- Reschedule classes from the club schedule, not the coach's calendar.
- If payment isn't collected at the club, make sure it's completed through the app.
