Monthly online payments for courses

With monthly recurring online payments, participants pay the course fee automatically every month after they subscribe in the app. This helps clubs avoid manual collection and keeps payments consistent.

How to set up monthly online payments for a course

From Playtomic Manager, follow these steps:

  1. Go to 🎓 Academy and create a course.
  2. In Step 3 of the setup, configure the Activity price and select Monthly in Payment frequency.
  3. Enter the monthly price that participants will pay. This amount is charged every month until the course ends.
  4. Set a single class price if participants can enroll in individual classes.
  5. Finish the rest of the course setup.

Enrolling participants

If you enable enrollment from the app, the course appears in the Playtomic mobile app and participants can join directly (either the full course or a single class). You can also enroll participants directly from Playtomic Manager.

  1. Go to the 🎓 Academy section.
  2. Click on the Courses tab.
  3. In the Courses list, click on the course name.
  4. Go to the Participants tab.
  5. Click Add participant.

💡 Once you add a participant, they’ll receive a notification to subscribe to the course in the Playtomic App. When they complete sign-up in the app, they’ll be charged immediately for the first month. After that, future installments are charged automatically on the first day of each month. The subscription continues until the course ends.
 

How to Check Course Payments for a Participant

  1. Go to the 🎓 Academy section.
  2. Click on the Courses tab.
  3. In the Courses list, click on the course name.
  4. Go to the Participants tab.
  5. Click on a participant’s name and check the Billing tab to see all monthly payments.

The subscription will automatically end when the course finishes.


F.A.Q.

When is the participant charged?
Payments are processed automatically on the first day of each month at 8:00 AM.

Can the participant make an onsite payment?
Yes, if they don’t add a credit card in the app, they can pay monthly at the club, and the club can mark it as paid onsite.

If a player has an active online subscription, can they make an onsite payment?
No, participants with an active online subscription cannot pay future fees onsite. However, they can pay for past due or failed payments onsite.

What payment methods can be used for the subscription?
Credit or debit cards.

Can the club issue refunds for fees paid online?
No, online payments cannot be refunded through the system. The club must issue refunds manually.

If the course starts in the future, when will the first fee be charged?
The first fee will be charged when the participant adds their credit card.

If the course has already started, when will the participant be charged?
They will be charged for the current month as soon as they add their credit card.
