Understanding the New Billing Model
The New Billing Model or "New Billing Model" (NBM) is an innovative system designed to streamline and enhance the payment and billing processes. By transitioning to weekly payments and integrating directly with Stripe Connected accounts, Playtomic aims to provide clearer and more efficient transaction management.
Key Changes in the New System 🚀
Enhanced Billing Transparency
With the new process, all online transactions, including payments and refunds, can be viewed directly in your Stripe Connected account. This change ensures that you have a clear and immediate view of your financial activities.
Previously, invoices were issued every two weeks. Now, you will receive a monthly invoice from Playtomic, concerning commissions and referring to online payments made by users in the previous month. To clarify, this invoice is Playtomic billing you for the B2B fees that have already been charged. There is nothing to be paid, you just need to keep this for accounting purposes.
Real-Time Payment Reception
One of the standout features of the NBM is the real-time receipt of booking funds. When a player books online, funds are immediately reflected in your Stripe Connected account, functioning like a digital wallet. Payments are transferred to you based on the payment date rather than the match date, ensuring timely receipt of funds.
💡 Keep in mind that the amount deposited into your Stripe Connected account, already has the Playtomic B2B fee removed.
Weekly Payment Transfers
Instead of the previous 15-day payment cycle, funds will now be transferred to your account every 7 days. This weekly transfer includes all online payments made by users during that period, providing a more consistent cash flow.
Handling Split and Single Payments
The New Billing Model (NBM) can operate with two different split-payment guarantee mechanisms depending on the club configuration / country:
- Pre-authorization (temporary hold): the booking owner pays their share and a temporary hold secures the rest. Other players pay normally. About 2 hours after the match, if everyone paid, the hold is released. If not, the missing amount is taken from the hold so you still receive the full court price.
- Card on File (CoF) recovery: the booking owner must have a saved card. Other players pay normally. About 2 hours after the match, if any shares are missing, we try to charge the booking owner’s saved card for the difference. If it succeeds, you receive the full court price; if it fails, the booking may remain partially unpaid (standard debt flow). The club is responsible for following up with the players to recover the remaining payment.
In both cases, payments/refunds are visible in your Stripe Connected account, and payouts follow the weekly schedule.
For single-payment bookings, payments reflect directly to your Stripe Connected account, and payouts follow the same weekly schedule.
📌Playtomic’s commissions are deducted in real-time, ensuring a seamless and transparent transaction process.
Invoicing your players
Because payments are now processed directly between the player and your club, your club is responsible for issuing invoices for bookings when a player requests one. In that case, you should invoice the full (gross) booking amount to the player.
Playtomic will still invoice separately:
- B2C service fees to the player, and
- B2B commissions to the club (sent monthly by email).
