The Playtomic Invoicing System allows you to create invoices individually or in bulk, customize invoice details, download invoices, and automatically generate credit notes for refunds. Your club's business model determines the specific items or services you can invoice. See more about business models at the end of this guide.
Activating the Playtomic Invoicing System
- Go to Settings > Integrations.
- In the Connect New tab, select Playtomic Invoicing System.
- Read the disclaimer, then click Connect in the bottom right.
- On the new screen, click Go to Settings to complete the setup.
You can now start issuing invoices for your players.
Creating an Invoice
- Open the Payments menu, find the payment you want to invoice, and click Generate Invoice.
- For multiple invoices, use filters and checkboxes to select the payments that need invoicing.
- In the next screen, enter the invoicing details:
- For a simplified invoice (receipt), Tax ID is not required.
- For a full invoice, enter the Tax ID to open additional address fields.
- Product and price cannot be edited.
- Click Generate Invoice. The invoice is automatically emailed to the user and is available for download.
⚠️ Note: You cannot invoice individual wallet-based transactions. However, you can invoice the initial wallet top-up transaction.
Creating Credit Notes for Refunded Transactions
If a previously invoiced booking is canceled, a credit note is automatically generated in the Payments menu:
- Go to Payments and filter for the refunded transaction.
- Open the transaction to view the credit note.
Business Models
Understanding your online payment outcomes helps determine your business model:
- New Business Model: Clubs using the new commission model can invoice all transactions (both online and onsite).
- Old Business Model: Clubs on this model can only invoice onsite transactions; online transactions are invoiced in a self-invoice issued every two weeks.
