Consult and download the auto-invoice

In Playtomic Manager, you can easily view and download your invoices by navigating to the Billing tab. From there, apply date filters to retrieve invoices from specific periods. You can choose to download the invoice as either a CSV or PDF file.

What is a Self Invoice?

A self-invoice is a unique type of invoice, often referred to as a "reverse invoice," because it is not issued by the service provider (the club) but by the customer (Playtomic) on behalf of the provider.

In a traditional invoice, the provider issues a request for payment for services rendered. In contrast, with a self-invoice, the customer (Playtomic) issues the invoice to "report" the payment made to the provider.

Self-invoicing is regulated under Spanish Billing Regulations, in line with the European Union's Directive 2010/45/EU, which standardizes invoicing systems across EU member states. Article 5 of this regulation allows invoices to be issued by the recipient of a service, provided there is a prior agreement.

  • Reduced Paperwork: Clubs no longer need to prepare and send two invoices per month to Playtomic.
  • Simplified Accounting: Multiple reservations and transactions are consolidated into a single account, making bookkeeping more efficient.
  • Increased Transparency: Clubs receive detailed business performance reports every two weeks.

Self-Invoice Breakdown

 

Here is an explanation of the key components found on a self-invoice in Playtomic:

  1. Business Name: Entered or updated directly in Playtomic Manager.
  2. Address 1: Input or modified in Playtomic Manager.
  3. Address 2: Input or modified in Playtomic Manager.
  4. Self-Invoice Number: A unique and sequential number with the following format:
  5. Abbreviation for Self Invoice, Country code, Year of the invoice period, Month of the invoice period, Fortnight of the invoiced period, Version number of the invoice. The highest value is considered the final version.
  6. Creation Date: Date when the self-invoice was automatically generated.
  7. Billing Period: Start and end dates of the invoiced period, both included.
  8. Payment Method: Usually a bank transfer; this is how Playtomic transfers the billed amount to the club.
  9. Amount Transferred: The amount Playtomic has transferred to the club.
  10. Client: The recipient of the self-invoice, which is always Playtomic SL.
  11. Concept: All reservations and purchases made by players via Playtomic.
  12. Units: The total number of items included in the invoice for each concept.
  13. Total Gross Volume: The sum of all prices (including VAT) for reservations and purchases, including those paid through other methods (e.g., directly at the club).
  14. Transaction Volume: Total value (including VAT) of all transactions processed through Playtomic, which is used to calculate the Playtomic commission.
  15. Playtomic Commission: The percentage Playtomic charges for managing, processing, and securing payments made via the platform. The commission is calculated by multiplying the transaction volume by the commission percentage.
  16. Self-Invoice Tax Base: The net amount before taxes that the club invoices Playtomic for reservations and purchases. It's calculated as Total Self-Invoicing Value ÷ (1 + local tax rate)%.
  17. Self-Invoice Taxes: Taxes calculated based on the tax base, using the formula Self-Invoice Tax Base × local tax rate%.
  18. Total Self-Invoice Value: The total amount (including VAT) that the club will receive from Playtomic after deducting the commission. It is calculated as Total Transaction Volume - Playtomic Commission.
  19. Reservations Paid Through Playtomic: All reservations made via the app or website, paid at the time of booking. Excludes reservations paid with bonuses or offers, and canceled reservations within the valid period.
  20. Reservations Paid Directly to the Club: Reservations made through Playtomic but paid at the club or using bonuses/offers. Canceled reservations within the valid period are excluded.
  21. Match Registrations Paid Through Playtomic: All match registrations processed through the app or website, excluding those paid with bonuses or offers. Canceled registrations within the valid period are not counted.
  22. Match Registrations Paid Directly to the Club: Match registrations made using bonus vouchers or offers but not processed through Playtomic. Canceled registrations within the valid period are excluded.
  23. Offers Purchased and Paid Through Playtomic: Purchases of club-generated offers and promotions, processed through Playtomic.
  24. Top-Ups of Purse Bonuses Paid Through Playtomic: Monetary balance recharges made by users at the club and processed via Playtomic. Each recharge is counted.
  25. Tournament Registrations Paid Through Playtomic: All tournament registrations processed via Playtomic, excluding those paid with bonuses or offers. Canceled registrations are not included.
  26. Tournament Registrations Paid Directly to the Club: Registrations made using bonus vouchers or offers but not processed at the time of registration through Playtomic. Canceled registrations within the valid period are excluded.
  27. Class Enrollments Paid Through Playtomic: Class enrollments processed via Playtomic, excluding those paid with bonuses or offers. Canceled enrollments are not counted.
  28. Class Enrollments Paid Directly to the Club: Enrollments made using bonus vouchers or offers but not processed through Playtomic. Canceled enrollments within the valid period are excluded.
  29. Total Self-Invoice Value: The sum of the taxable base and taxes, which represents the total amount (including VAT) that the club will receive from Playtomic after commissions have been deducted.
