Payout Cycle for Clubs Using the Distribution Model

How You Get Paid When Using Playtomic

When players book through Playtomic, they pay the full amount for your services plus Playtomic's fee. After deducting its service fee, Playtomic will transfer your earnings according to a regular payment schedule.

When You'll Receive Payments

You'll receive your payments twice a month:

  • Mid-Month Payment: For activities from the 1st to the 15th, you'll receive payment by around the 19th of the same month.
  • End-Month Payment: For activities from the 16th to month-end, you'll receive payment by around the 3rd of the following month.

Important: Payments are based on when the activity took place, not when the player booked or paid.

Your Payment Documentation

For each payment period, you'll receive a self-invoice document that details all your earnings.

  • What is a self-invoice? It's a document Playtomic creates on your behalf, showing you as the invoice issuer (as if you're billing Playtomic for your services).
  • What information will you see? A breakdown of all your earnings by category (matches, tournaments, leagues, etc.) after Playtomic's fees have been deducted.
  • Where to find your invoices: Log into Playtomic Manager, go to the Billing section, and check the "Self-Invoices" tab.

How You'll Get Paid

Playtomic can pay you in two ways:

Automatic Payments

Create a Stripe Express account and complete the verification process (KYC). Once verified, Playtomic will automatically transfer your earnings to your bank account on the scheduled payment dates.

Manual Payments

You might receive manual payments if:

  • You're in a country where Stripe Express isn't available
  • You haven't set up a Stripe Express account yet
  • There's an issue with automatic payments

In these cases, Playtomic's finance team will process your payment manually.

When Different Activities Are Paid

Payment Timing by Activity Type

Different activities are paid according to these rules:

Activity TypeWhen You Get Paid
MatchesAfter the match has been played
TournamentsAfter the tournament has ended
LeaguesAfter registration has closed
CoursesAfter the course has started

This ensures you receive payment only after services have been delivered and are no longer subject to changes or cancellations.

Things to Keep in Mind

  • Advanced Bookings: If players book and pay far in advance, you'll still receive payment only after the service date, not in the next payment cycle.
  • Refunds: If Playtomic refunds a player after you've already received payment, this can create complications. Playtomic may issue the refund directly without recovering funds from you.
  • Special Payments: Sometimes you might receive payments not directly related to player bookings:
    1. When Playtomic covers registration fees in debt situations
    2. Payments from Playtomic wallet transactions
    3. When Playtomic covers the cost of discount codes offered to players

Country-Specific Requirements

Some countries have special requirements:

Mexico

Due to tax regulations (ISR), if your club is in Mexico, you must send invoices to Playtomic for tax reporting purposes. If you don't provide these documents, your payments may be delayed until you comply.
