Club Membership Feature

With the Membership feature, you can set up exclusive memberships that offer players specific advantages within your club. You have the option to charge a monthly or yearly fee, which is automatically billed to the player based on their purchase date.

Note: Memberships can only be purchased via the Playtomic App.

How to Create a New Membership

  1. Navigate to Rewards and Offers:
    • Go to Rewards and Offers in the menu.
    • Click on the Benefits tab.
    • Click on the Add new benefit button.
  2. Add General Details:
    • Enter the Membership name and description that players will see.
    • Click Next.
  3. Enable Membership Mode:
    • On the next screen, activate "Benefit sold through the Playtomic app" by sliding the toggle to the right (it will turn blue).
    • Note: If you leave this toggle disabled, you'll create a Category instead of a Membership.
    • Once activated, two fields will appear:
      • Cost: Enter the membership price in your local currency.
      • Payment frequency: Choose Monthly or Yearly.
      • Note: Cost and payment frequency cannot be changed once the membership is created.
    • Click Next.
  4. Set Booking Privileges (Optional but Recommended):
    • Configure special privileges for members. If not set, standard privileges for all users will apply to members as well.
    • Customizable privileges include:
      • Booking ahead days
      • Maximum bookings per day
      • Number of active bookings
      • Cancellation policy (in hours)
    • "Players can pay the full booking with their benefit": We recommend keeping this disabled. When enabled, members can pay for entire bookings and include non-members who shouldn't receive the benefit. When disabled, only split payments are allowed.
  5. Configure Pricing Rules (Optional but Recommended):
    • Choose between two pricing configurations:
    • Simple Pricing: One discount type applied to selected days and courts.
    • Advanced Pricing: Different price rules based on court, day, and time.
    • Note: This choice is final once saved.
  6. Simple Pricing Options:
    • Discount types:
      • Amount discount
      • Percentage discount
      • Price per hour
      • Price for all bookings
    • Configure the following:
      • Value: Set the discount amount or price.
      • Round to nearest euro: Optional (not available with "Price for all bookings").
      • Courts: Select which courts the pricing applies to.
      • Days: Choose applicable days of the week.
      • Time limitations: Set start and end dates/times.
  7. Advanced Pricing Options:
    • Create specific pricing rules by day and time that override your standard prices.
    • Tip: Review your general prices at Settings > Pricing before configuring advanced pricing.
  8. Offer Wallet Benefits (Optional):
    • You can offer members a dedicated wallet that automatically recharges. Learn more in this article.
    • You can enable or disable this benefit later after the membership is created.
    • If you don't want to configure this now, click Skip for now to create the membership immediately.
  9. Share the Membership Link:
    • After creation, you'll see a shareable link that players can use to purchase the membership.
  10. Activate/Deactivate the Membership:
    • Once created, the membership is already active and visible to players.
    • If you want to deactivate it, go to Rewards and Offers, find the membership in the Benefits list, and click on the Status button.
    • Confirm that you want to deactivate it. The toggle will slide to the left and become grey.
    • Note: If you deactivate the membership, it will no longer be available for purchase by customers.

After Activation

Once the membership is visible, players can purchase it from the Membership tab on your club's page within the Playtomic app.

Important Considerations

  • Purchasing: Players can only purchase memberships through the Playtomic app. You cannot manually add a player to a membership.
  • Cancellation: Players can cancel their memberships anytime via the Playtomic app.
  • Revoking Membership: You can revoke a membership anytime through the player's profile in Playtomic Manager.

How to Refund a Revoked Membership:

  1. Manually at the club (Cash or Club Wallet).
  2. Contact Playtomic Customer Care via chat for assistance.
  3. Opt not to provide a refund. This decision is up to you.

Note: If a membership is cancelled, it remains active until the end of the current subscription period.
