Recurring Wallet Benefit

A wallet benefit allows you to offer your players a fixed monthly credit as part of their benefits. This credit is automatically added to a designated wallet and can be used for eligible products during that specific month.

How it works

The recurring wallet is a feature you can enable on any benefit — whether it's a benefit assigned by the club or a benefit sold as membership. Once enabled, each member of that benefit gets a wallet with a fixed monthly credit they can use for the products you specify (courts, activities, etc.).

  • The credit renews automatically every month, on the same date the player joined the benefit.
  • The wallet is visible to the player at checkout so they can use it when booking.
  • The balance can only be spent on products you've selected — not on anything else.
  • Unused balance doesn't carry over — it resets to zero at each renewal.

Renewal logic: how the monthly credit works

The renewal date is tied to the date the wallet was assigned to each player, not to a fixed calendar day. Here's an example:

🗓️May 15

  • Player is added to the "Club Best Players" benefit.
    A wallet is created automatically and €50 is added. The player can spend it on eligible bookings during the following month.

🗓️June 15

  • Renewal date — one month later.
    Any remaining balance (e.g. €5 unspent) is cancelled and replaced with a fresh €50. The leftover does not carry over.

🗓️Every month on the 15th

  • The cycle continues as long as the benefit is active.

📌Enabling the wallet on an existing benefit? If you enable the recurring wallet on a benefit that already has members, all existing members will receive their wallet immediately. Their renewal date will be the date you enabled the wallet — not the date they joined the benefit.

How to enable the recurring wallet

  1. Go to Rewards and Offers
    Navigate to the benefit you want to update, or create a new one.
  2. Open the benefit settings
    Complete the benefit name, description, and booking privileges as needed.
  3. Enable the wallet
    Toggle on "Offer Wallet Benefits" and set the monthly amount, eligible products, and any restrictions.
  4. Add members manually
    Once a player is added, their wallet is created automatically on that day.

💡Need to adjust a wallet balance? You can edit it for each customer from their profile. If you want to change the amount that recharges every month, update it in the benefit settings instead.

Important Details

Cancellations

Refunds go back to the wallet. If a player cancels a booking paid with their benefit wallet, the amount is returned to the wallet — still subject to the same monthly expiry.

Benefit expires

Wallet access is limited. If the benefit expires or is deactivated, players can use any remaining credit until the next renewal (when the wallet resets to zero). If a booking paid with the benefit wallet is cancelled after the benefit is deactivated, the credit will not be returned to the player’s wallet.

Booking window

Works with your standard rules. Players can use their wallet to book within your club's usual booking window — for example, up to 30 days in advance using the current month's credit.

Reports

Visible in payment list: Bookings paid with the wallet are shown in the payment list. Automatic monthly recharges don't appear in the payment list since no real transaction occurs.


FAQ

  • Can players top-up this wallet? 
    No. The wallet only receives the automatic monthly credit. Players can't top it up themselves. However, as a club admin you can manually edit the wallet balance to add extra credit if needed.
  • Can I change the monthly amount after setting it up? 
    Yes. You can update the recharge amount in the benefit settings at any time. The change will take effect from the next renewal cycle.
  • Can I set different wallet amounts for different benefits? 
    Yes. Each benefit has its own wallet configuration, so you can set a different amount and product restrictions per benefit.
  • What happens to unused balance at the end of the month? 
    It's cancelled and replaced with a fresh balance on the renewal date. Unused credit does not carry over to the next month.
