Understanding When Public Matches Occupy Club Calendar Slots

Understanding the conditions under which public matches on Playtomic occupy a slot in your club’s calendar (i.e., are linked to a court booking) is essential for effective club management.
One important thing to note is that public matches do not always generate a court booking — they only do so when specific criteria are met. Here’s how it works:


When does a public match book a court (and appear in the club’s calendar)?

  1. 0 players: The court is never booked.
  2. 1 player: The court is never booked.
  3. 2 players: The court is booked only if more than 12 hours remain before the match start time .
  4. 3 players: The court is booked only if more than 4 hours remain before the match start time.
  5. 4 players: The court is booked immediately and the match is confirmed.

If these time conditions are not met, the court booking will be removed, and the match will no longer occupy a slot in the club’s calendar. However, the match will still remain visible in the list of available public matches, allowing other players to join.This configuration has been specifically designed by Playtomic to prevent club courts from being blocked by matches that are unlikely to be completed.
 As a result, courts remain available both for:
 
  • Other players who may still join and complete the public match, and
  • Potential private bookings from other users.

 

Additional Information

  1. Cancellation Impact:
    •  If a club cancels a match, it will be removed from the current schedule but will reappear in the club’s list of public matches, making it available for other players to join at the same date and time.
  2. Court Availability: 
    • When all available spots on a court are filled, the match is automatically cancelled, regardless of the number of players.
  3. Manual Forced Override: 
    • Clubs have the option to manually force a public match onto a court, even if it hasn’t yet reached the minimum required number of players. For example, a match with only one player can still be assigned to a court through manual force.
      However, if the match is not completed with the necessary number of players, it will be automatically cancelled by Playtomic 1 hour before the match start time.
