How to manage Open Matches in Playtomic Manager

Open matches are automatically managed by Playtomic Manager and are available during all time slots in the club schedule once activated. 🎾

You do not need to actively create open matches, as this is done completely by the software. However, as a manager, there are some actions you can take.

Where to Check Open Matches

To monitor or manage your open matches:

  1. Go to the "Matches" section in the left-hand menu.
  2. Use the arrows next to the date to navigate between days, or click on the date to view the entire calendar.
  3. Apply the available filters to see matches by venue, match type, status, or court type.

Cancel a Confirmed Open Match

If you need to cancel a confirmed match, this must be done directly in Playtomic Manager:

  1. Go to "Matches" in the left-hand menu.
  2. Find the match you want to cancel, click on the three dots next to it.
  3. Select “Cancel”.

The system will ask for confirmation. Once confirmed:

  • All players will be refunded automatically. If they paid by card, the refund will take 2-10 business days. Refunds to the club wallet are instant.

Remove a Player from an Open Match

Players can remove themselves from a match through the app, as long as they are within the cancellation policy (Up to 24 hours before the match starts).

If the cancellation window has passed, you can remove the player manually:

  1. Go to "Matches" in the left-hand menu.
  2. Click on the match in question.
  3. Click on the three dots next to the player’s name and select “Remove Participant”.
  4. Don’t forget to click “Save” to confirm the change.

Manually Assign a Court to an Open Match

Although the system automatically assigns courts as the match time approaches, you can manually assign a court if necessary:

  1. Go to "Matches" in the left-hand menu.
  2. Click +Add Court.
  3. Confirm by clicking “Confirm”.

This action will reserve the court in your schedule, even if no players have enrolled yet.
