Club Wallets: how the top-up expiration works

Now you can set the credit players add to their wallet (a "top-up") to expire automatically after a certain amount of time, so you don’t have to track and remove it manually.

What it is

Wallet Top-up Expiration lets you set an expiration on the credit added to a wallet, so that if it isn't used within a set time, it disappears automatically. Nothing changes if you don't turn this on — top-ups keep working exactly as they do before, with no expiration.

How it works

  • Each top-up has its own expiration. A player's wallet can hold some credit about to expire soon and some that never expires, all at the same time.
  • You choose how long the credit should last — in days or months — not a fixed date. Playtomic works out the actual expiration date automatically, based on when the credit was added.
  • If a specific recharge pack has its own expiration set, that takes priority over the wallet's general rule.
  • When a player pays, the credit closest to expiring is always used first, so nothing goes to waste. Credit with no expiration is only used once everything else has run out.

How to set it up

  1. Go to Rewards and Offers → Wallets and open the wallet you want to update (or create a new one).
  2. While setting up the wallet, turn on "Set default expiration" and choose how long top-ups should last (days or months). This applies to every top-up on that wallet, unless a specific pack says otherwise.
  3. Want one recharge pack to behave differently? Turn on its own expiration setting inside that pack — it will override the wallet's general rule just for that pack.
  4. Prefer top-ups that never expire? Just leave these fields empty — that's the default, and nothing changes unless you turn this on.

Adding balance manually to a customer

When you top up a player's wallet from their profile in Playtomic Manager, you'll also see an expiration field there, pre-filled with the wallet's usual setting. You can change it or clear it for that specific top-up.

Refunds and expired credit

If a booking paid with the wallet is cancelled, the refund goes back to the exact top-up it came from, keeping that top-up's expiration date. One thing to keep in mind: if that top-up has already expired by the time the refund happens, the credit is lost right away and won't be usable again.

Checking what happened to a top-up

In a customer's wallet transaction history, you'll now see the expiration date for each top-up. You can also click into any entry for more detail — for example, how much of that top-up was spent, refunded, or expired.

Importing balances in bulk

If you load wallet balances for many players at once via a file, you can now also include an expiration date for each one. Head to How to import Club Wallets for the full steps.

FAQ

  • Do I have to use this new feature? 
    No, it's optional. If you don't set an expiration, the wallet top-up won’t expire.
  • Can different wallets have different rules? 
    Yes, each wallet has its own expiration settings.
  • What happens to expired credit? 
    It's simply removed from the balance and can't be used anymore. You'll see an "expired" entry for it in the transaction history.
  • Can I change my mind later?
    Yes. You can update or remove the expiration on a wallet or a pack at any time — the change applies to top-ups added from that point on.
