How to Create and Use Promo Codes in Playtomic Manager

Promo codes are single-use discount codes that give players a fixed amount off bookings, Open Matches, or Academy classes. Here's how to create and manage them.

For Clubs: Creating Promo codes

Access Promo codes

In Playtomic Manager, navigate to: Rewards & Offers → Campaigns

Create a Campaign

  • Campaign Name: Give your campaign a descriptive name (e.g., "Spring 2026 Promo")
  • Number of Codes: Generate as many single-use codes as needed
  • Expiration Date: Set when codes expire
  • Discount Amount: Set the fixed discount value in your local currency
  • Product Type: Choose where codes can be used:
    • Regular Bookings, Recurring Bookings & Open Matches
    • Academy classes/courses
    • Both

Distribute Codes

Once created, you'll see your list of promo codes. Copy and share them with players via email, WhatsApp, or in person.

Track Usage

  • In Playtomic Manager, go to the Payments tab. Open the details of any transaction where a promo code was applied to view the campaign name, original price, and discounted price

  • Payments CSV Export: Download a CSV with campaign ID and campaign name columns
  • Campaign Details: See which codes have been used

For Players: Using Promo codes

Requirements

Players must have the latest version of the Playtomic app installed to use promo codes.

How to Apply

  1. Book a court, Open Match, or Academy class as usual
  2. On the Review Payment screen, look for the promo code field
  3. Enter the code exactly as provided
  4. The discount will be applied automatically
  5. Complete your booking

Important Notes

  • Single-use codes can only be used once
  • Promo codes can be used with both single payments and split payments
  • Both booking owners and other players in split payments can use codes
  • If the promo code value exceeds the booking price, the payment shows as $0 and the remaining value does not carry over
  • If a reservation is cancelled, the player is refunded the amount they paid, but not the promo code value. Single-use promo codes are considered used and are not returned or refunded
  • Codes are club-specific and must be used at the correct location
  • Only the Main Admin has default access to the Campaigns section, and can generate the promo codes
  • Promo codes are available only to Champion & Master subscription plans

Troubleshooting for players

"Campaign not found" error:

  • Ensure you have the latest app version
  • Verify you're booking at the correct club
  • Check the code was entered correctly
