Every payout comes with two reports you can download from Playtomic Manager. The Summary (PDF) gives you the totals, and the Transactions (CSV) gives you the details of each payment and refund. Together they help you check your payouts and compare them with your service fee invoices.
🟢 Note: These reports are available only for clubs using the New Billing Model.
How do I download my payout reports?
- Go to the Payments menu and click on the Payouts tab.
- Find the payout you want (payouts are listed from the most recent to the oldest).
- Click Summary (PDF) or Transactions (CSV) to download the report.
A new payout and its reports are available every 7 days, in line with your payment schedule.
What's in the Summary (PDF)?
- Summary Table: total transaction amounts, Playtomic service fees, VAT, total fees (including VAT), and the final amount transferred after deductions.
- Monthly Distribution Table: separates transactions by month, so you can reconcile payouts that span two different months. If the payout is for one month only, you'll see a single row.
- Bank Statement Descriptor: how the payment will appear in your bank account.
- Monthly Totals: the sum of all your payouts for the month, useful to cross-check with your Playtomic service fee invoices.
What's in the Transactions (CSV)?
The CSV has one row for each payment or refund included in that payout. The column names are always in English, in every language of Playtomic Manager.
At the top of the file you'll find the totals of the payout: Subtotal, Taxes, Total, Total net amount transferred, and the service fee totals (B2B fee Subtotal, B2B fee Taxes and B2B fee Total).
Below the totals, the main columns are:
- Identification: Payment id, Refund id, User name and Payout code.
- Date and type: Service date, Payment date, Payment method and Payment status. The status is Paid for a payment and Refund for a refund.
- Amounts: Total, Subtotal, Taxes, Tax rate and Net amount transferred.
- Service fee: B2B fee rate, B2B fee Total, B2B fee Subtotal, B2B fee Taxes and B2B fee Tax rate.
- Store: Store product name and Store product quantity.
Refunds appear as negative amounts, because the money is returned to the player.
How do I check that the CSV matches the PDF?
- Open the Transactions (CSV) and Summary (PDF) of the same payout.
- In the CSV, add up the Net amount transferred column. Refunds are negative, so they are subtracted automatically.
- Compare the result with the Total net amount transferred at the top of the CSV and with the final amount in the PDF. They should be the same.
- To check your service fees, add up B2B fee Total and compare it with the B2B fee Total at the top of the file.
To match your service fee invoice, see Understanding your B2B Service Fees.
When should I use each report?
- Summary (PDF): to see the totals of a payout, how it appears in your bank account, and your monthly totals.
- Transactions (CSV): to find a specific payment or refund, or to understand how a payout was calculated.
FAQ
Why do I see negative amounts in the Transactions (CSV)? Negative amounts are refunds to players. If the total of a payout is negative, see Why did I receive a negative payout?
