How to cancel your subscription in Playtomic Manager

If your club needs to stop working with Playtomic — for example, because your season is ending or you're closing down — you'll need to cancel your subscription. Cancelling stops the automatic renewal charge, but it does not automatically take your club offline in the Playtomic app. To stop receiving new bookings, you'll also need to contact our team so we can complete the process and set your club offline.

How to cancel your subscription

  1. In Playtomic Manager, go to Billing > Pricing Plans.
  2. Click Manage Current Plan.
  3. On the next screen, click Cancel Subscription (top right).
  4. Confirm by clicking Cancel Subscription again on the confirmation screen.

Once confirmed, your subscription will no longer renew automatically.

ℹ️ Cancelling doesn't interrupt your service. You can keep using Playtomic Manager as normal until the end of your current paid subscription period.

What you'll find on the "Manage Current Plan" screen

This screen also shows useful information about your subscription:

  • Next renewal date – shows whether your plan renews monthly or annually, and when. Always check this date and cancel before it to avoid being charged for a period you won't use.
  • Subscription details – the amount you pay, including taxes and any discounts applied.
  • Billing details (scroll down) – the payment method your subscription is charged to, and the billing information used for your invoices.
  • Invoice history (scroll down further) – download your past subscription invoices. For step-by-step details, see How to Download Your Subscription Invoice.

When to cancel

Cancel your subscription at least 30 days before you want your club to go offline. This gives enough time to:

  • avoid an unwanted charge for a renewal period you won't use, and
  • give the Playtomic team time to process your request and set your club offline before your next billing cycle.

What happens after you cancel

Cancelling stops the automatic renewal, but your club stays visible in the Playtomic app until our team completes the process. After cancelling:

  1. Contact us via chat in Playtomic Manager.
  2. We'll connect you with your Club Success representative.
  3. They'll complete the process and set your club offline — so it's no longer visible in the app and won't receive new bookings.

ℹ️ Your configuration is kept, not deleted. Cancelling your subscription and going offline does not erase your club's saved configuration in Playtomic Manager. If you decide to come back to Playtomic after a while, you'll find everything just as you left it — simply reactivate your subscription and contact us to go back online.

Seasonal clubs

If your club only operates part of the year (for example, outdoor-only clubs open just in summer), here's how to handle each season:

At the end of the season:

  1. Cancel your subscription (see steps above).
  2. Contact us via chat so we can set your club offline.

When you reopen:

  1. Reactivate your subscription (this generates a new payment).
  2. Contact us via chat so we can set your club back online.

Block your calendar to avoid unwanted bookings

While you're waiting for your club to be set offline — or during your closed season — we recommend blocking your calendar so you don't receive any last-minute bookings:

  1. In Playtomic Manager, go to Settings > Holidays.
  2. Click + New Holiday and set your closure dates.
