When a player books with split payment, each participant pays their own share. To guarantee your club still gets paid in full, Playtomic places a temporary hold for the entire booking amount on the booking owner's card (see How a pre-authorization works for how that hold works in general). This article walks through what that looks like in Playtomic Manager, step by step: the statuses you'll see, what happens 2 hours after the match, and where to find these payments later.
Payment statuses on a split payment booking
These three statuses can show up on any split payment booking, any time between booking and settlement. That includes bookings that haven't been played yet, and bookings whose match already ended but are still within the 2-hour settlement window.
- Authorized: only ever shown on the booking owner's fee. It means the full booking amount is on hold on the owner's card as a guarantee, nothing has been charged yet. Hover the tooltip (ℹ️) next to it to see that total amount, which always equals the full booking cost, not just the owner's share.
- Mark as paid: this participant hasn't paid yet. It's a button, not a status, so use it yourself once a player pays you at the club. If a player pays you directly at the club, keep in mind that it needs to be registered within 2 hours after the match ends.
- Paid: this participant has already paid, with a tag next to it showing how (online, wallet, or however you recorded a payment collected at the club).
⚠️ For split payment reservations, ensure all players are added to the reservation. In the example above, player 2 of team A is missing and must be included to allow payment via the app or at the club, preventing errors or extra charges to the booking owner.
2 hours after the match: automatic settlement
Exactly 2 hours after the match ends, Playtomic checks whether every player's share has been paid and marked as paid.
✅If everything is paid, the hold on the owner's card is released and the owner is charged only their own share. The booking status changes to Finished and every participant shows Paid.
✖️If a share is still outstanding, whether the player never paid or paid at the club but it wasn't marked in Playtomic Manager in time, the system charges the owner's card for their own share plus every unpaid share, using the pre-authorized hold. That fee then shows as Paid Online with a tooltip (ℹ️). Hovering it explains that it was paid by the booking owner.
This is why marking in-person payments promptly matters: past the 2 hour mark, an unmarked payment is treated the same as a missing one, and the owner ends up covering it.
⚠️If a player paid onsite but the club failed to mark the payment, causing the booking owner to be charged extra fees 2 hours after the match, it is the club's responsibility, not Playtomic's, to refund the extra payment.
Finding these payments later
Every payment tied to a booking, online or in person, appears under Payments → Processed.
💡 From there, if you click on a specific payment to view its details, and then select the "Related payments" button, you will be able to see all the payments grouped under the same booking.
Other players' payments show up as soon as they're made. The booking owner's own payment appears only once it's actually charged, so when the pre-authorization is updated 2 hours after the match, therefore it will show a later timestamp than the rest.
FAQ
-
Why was the booking owner charged more than their own share?
One or more other players' shares weren't paid and confirmed in Manager within 2 hours of the match ending, so the owner's guarantee covered the difference. - Why does a fee say "Paid Online" when the player actually paid in cash at the club? That fee wasn't marked as paid in Playtomic Manager before the 2 hour deadline, so it was charged from the owner's hold instead. Marking payments as soon as you collect them prevents this.
-
Will the owner ever be charged more than the total booking cost?
No. The hold, and therefore the maximum possible charge to the owner, is always capped at the full booking amount shown in the Authorized tooltip.
