Managing Recurring Tournaments (Series)

Once you create a recurring tournament, Playtomic Manager automatically groups all its sessions into a Series, so you can track and manage them together. This article covers how series work day to day: adding sessions, editing them, handling conflicts, and assigning organizers.

What Is a Tournament Series?

A series is created automatically whenever you choose a recurrence option. Each series contains:

  • A start date (equal to the first tournament's start date)
  • A recurrence end date (equal to the last tournament's end date)
  • All the tournament sessions created as part of the recurrence

Viewing Your Series

In the Tournaments menu, the Tournament List is split into two views:

  • Tournament Series List: shows all created series — open one to view every tournament inside it and add new sessions
  • Tournament Sessions List: shows all individual tournament dates/sessions

In your Schedule, each session appears as its own block. From the side panel, you can open either the individual tournament or the parent series.

Adding Sessions to an Existing Series

  1. Open the tournament series from the Series list
  2. Click Add sessions
  3. Define the new sessions (dates, times, etc.)
  4. The new sessions are added to the existing series

This is also handy if you've changed your mind and want to turn a one-time tournament into a recurring series. If you've created a single tournament but now want it to repeat, you don't need to start again – just add more sessions to the series.

Editing Sessions

  • Individual sessions: you can edit a specific tournament date (general information, activity date, rules, price, courts, or additional information) without affecting the rest of the series
  • Whole series at once: not available in the current version. If you need to make a bulk change, cancel the upcoming sessions and recreate them with the new settings
  • Recurrence pattern: it can't be changed once sessions are created — you can only add new sessions or cancel and recreate them

Viewing Series Settings

You can always view the configuration a series was created with (same as at creation time), but you cannot edit them directly in this version.

Managing Organizers

 Assign a staff member to manage the tournament:

  • During creation: add an organizer in the General Information step
  • After creation: use the Shortcut "add organizer" button in the series view to quickly assign staff

Notifications: to avoid spamming organizers, when one is added to multiple sessions at once, they get a single summary email listing all sessions. When added to just one tournament, they get the standard notification email.

FAQ

  • Can I change the recurrence pattern after creating a series? 
    No — you can only add new sessions to the existing series, or cancel sessions and create new ones.
     

  • What's the maximum duration for a recurring tournament? 
    365 days from the creation date.
     

  • Can I edit all sessions in a series at once? 
    Not yet — bulk editing isn't available. Cancel upcoming sessions and recreate them with the new settings.
