How admin permissions work in Playtomic Manager

In Playtomic Manager, each admin can only see and do what their permissions allow. The Tenant Owner sets these permissions in Settings > Club Admins. This article explains each permission and what to do if an admin sees "Access denied".

What do admin permissions control?

An admin's permissions decide exactly which sections of Playtomic Manager they can open and which actions they can take there.

  • If an admin doesn't have a permission, they can't open or use that section.
  • Give each staff member only the permissions they need for their job. For example, front desk staff might need Schedule and Customers, and an accountant might need Reports, Club Payments and Billing.

What is the difference between View and View and Edit?

  • View: the admin can see everything in a menu but can't edit or delete anything.
  • View and Edit: the admin can do the actions listed in the table below.

Why does an admin see "Access denied" or an error?

Their permissions don't cover that section or action. It's a permission setting, not a problem with Playtomic Manager. To fix it:

  1. Log in to Playtomic Manager with the Tenant Owner account.
  2. Go to Settings > Club Admins.
  3. Click the admin.
  4. Turn on the permission they need: View, or View and Edit if they need to make changes.
  5. Click Save changes.
  6. Ask the admin to log out and log back in.

Note: Permission changes apply the next time the admin logs in or their session refreshes.

If you manage an organisation, the organisation owner sets the permissions of organisation staff in Settings > Organization Admins.

Who can change admin permissions?

Only the Tenant Owner can add admins and change their permissions. The Tenant Owner is the person who created or first accessed the club in Playtomic Manager.

FAQ

I changed an admin's permissions, but nothing changed for them. Why? Changes apply on their next login or session refresh. Ask them to log out and log back in.

An admin could open a section before and now they can't. What happened? Playtomic Manager now applies each admin's permissions to everything they do. Before, admins could sometimes still use some features without the matching permission. Give them the permission in Settings > Club Admins if they need it.
