After each leveling session, you enter the players' new levels in a Google Sheet shared by Playtomic. This article explains when the sheet is updated, how to enter a level and what to do if something doesn't work. To create a leveling session, see Leveling Process for Clubs.
When do players appear in the sheet?
- After the session, players who attended (and whose events weren’t cancelled) appear automatically in the Google Sheet shared by Playtomic.
- The sheet is updated every day at 12:00 (Madrid time) with the players of the previous day. So you can fill in the levels from 12:00 the day after the session.
- You have 30 days from the session date to submit or correct a level.
How to update a player's level in the Google Sheet
- Wait until 12:00 (Madrid time) the day after the session. The players who attended appear in your sheet.
- Open the Google Sheet shared by Playtomic. Use the Google account of the person who took the club certification exam, or an account that person has shared the file with.
- Find the player's row. The name, booking ID and other columns fill in automatically. Don't change them.
- Enter the level you assessed in Column D (“new_level”).
- The level is updated in the player's Playtomic profile within a few seconds.
Note: If you entered a wrong level, you can correct it in the same row within 30 days of the session, as long as the player hasn't played a competitive match since then. After a competitive match, the player's level is managed by the Playtomic algorithm and can't be changed from the spreadsheet. The player can join a new leveling session to have their level reviewed.
Note: The player must have completed the initial level assessment in the Playtomic app. Without it, their level can't be updated.
Troubleshooting
Why doesn't a player appear in the Google Sheet?
Check these possible reasons:
- The player paid in cash or at the club. Players must pay in the Playtomic app.
- More than 4 players joined the session.
- The event name doesn't include "Leveling" or "Levelling" (or "Nivelación" / "Livellamento").
- The session wasn't created under Public Classes.
- The event was cancelled before it started. In that case, players are refunded automatically.
- The session took place today. The sheet is updated at 12:00 (Madrid time) the next day.
- The club name in your sheet doesn't match the club name in Playtomic Manager. See the next question.
If the player paid in cash or at the club, or the session didn't follow the rules, refund the player's payment. For the rules, see Leveling Process for Clubs.
I changed my club name. What do I need to do?
The club name in Playtomic Manager (Settings > Venue > Basics) must be exactly the same as the club name in your leveling spreadsheet. If you change the name in Playtomic Manager, change it in the spreadsheet too. Otherwise, players won't appear in the file. Even an extra space can cause a mismatch.
You can update the file name yourself at any time. Keep it up to date to make sure new players always appear.
The sheet says "protected cell" or asks me to contact the owner
Your Google account doesn't have permission to edit the file. Try this:
- Log in with the Google account used for the club certification exam.
- If someone else needs access, ask the person who took the exam to click Share in the top-right corner of the sheet and give them edit permission.
If Column D is still locked, your club may not have a certified coach. At least one coach needs to pass the coach certification exam before your club can submit levels. If your club has a certified coach and Column D is still locked, contact us.
I can't see the dropdown in Column D
Copy an empty dropdown cell from another row and paste it into the cell you need.
How long do I have to update a level?
You have 30 days from the session date to submit or correct a player's level. After 30 days, the session is blocked. Corrections are also no longer possible once the player has played a competitive match. Update levels as soon as possible after each session.
I updated Column D but the level didn't change in the app
- Check that the player completed the initial level assessment in the Playtomic app.
- Check that the player hasn't played a competitive match since the session. If they have, their level is now managed by the algorithm.
- Clear the cell in Column D and enter the level again.
- If nothing changes, contact us with the player's name and the session date.
Can I add a name to the sheet myself?
No. Names and bookings are added automatically after the session. You only need to fill in Column D.
