Understanding your B2B Commissions: how they're calculated, invoiced, and matched to your payouts

This article applies to clubs operating under Playtomic's New Billing Model (NBM).

If you've ever looked at your commission invoice and wondered how that number was calculated, or why it doesn't always seem to line up with your payouts, you're in the right place. Below, we'll walk you through what B2B commissions are, when and how you receive your invoice, what happens with refunds, and why a small mismatch between your invoice and your payouts is usually nothing to worry about.

What are B2B commissions?

Every time a player pays for a booking online through Playtomic, our commission is automatically deducted from that payment before the money reaches you. This means the amount you receive for each online transaction is already the net amount — you don't need to set anything aside or pay us separately per booking.

Once a month, we add up all the commissions from your online payments and send you a single invoice for the total. So, for example, at the start of September you'll receive the invoice covering all your online commissions for August.

When and how will I receive my invoice?

Your monthly commission invoice is sent automatically by email, once a month, to the billing email address registered for your club. You can check or update this address anytime in Playtomic Manager, under Billing → Billing Information.

Why might my commission invoice not match my payouts?

This is one of the most common questions we get, so let's break it down simply.

Your commission invoice is calculated based on all online payments processed during a calendar month. Your payouts, on the other hand, depend on when Stripe (our payment provider) actually releases those funds to your bank account — and that timing doesn't always fall neatly within the same month.

In practice, this means a booking paid on, say, July 30th or 31st is included in July's commission invoice, but the payout for that booking might not land until the first payout of August.

So if your invoice total looks a bit higher than what you see across that month's payouts, it doesn't necessarily mean something's wrong — it usually just means a few end-of-month payments are still on their way to you.

Another thing to keep in mind: if a booking was refunded, any commission already charged for it is corrected with a credit note, which may appear on a later invoice rather than the one for the month the refund happened. If you're comparing totals, remember to factor in any credit notes before expecting the numbers to match exactly.

How to check this yourself

If you'd like to double-check the numbers, here's a simple way to do it:

  1. Export your payments for the month. In Playtomic Manager, go to Payments → Processed, filter by payment method Online, and select the full month of the invoice you're reviewing. Then go to Payments → Payouts; download the "Transaction CSV" and sum up the Commission + VAT column. This total should match your invoice amount, once you account for any credit notes applied that month.
  2. Review your payouts for that same period — but don't stop at the end of the month. Also check the first payout of the following month, since payments from the last few days often settle there instead.
  3. If there's still a gap, it's most likely explained by those late end-of-month payments waiting to be included in an upcoming payout, or by a credit note that hasn't landed yet.
