Club or Merchant Wallets

Playtomic Manager allows you to add money to players' wallets and create new wallet offers they can purchase through the Playtomic app. These wallets, called Club Wallets, can be found under the Rewards & Offers section in Playtomic Manager and are exclusively for use at your club for reservations and activities.

Club's Default Wallet

If Club Wallets are included in your subscription plan, your club will always have a default wallet ready to use from the start.

You can choose how to manage wallets:

  • Internal only: manage wallet recharges directly at the club.
  • In-app purchase: allow players to purchase wallet recharges in the app by enabling online recharge.

If online recharge is disabled, players won’t be able to purchase recharges in the app, and all recharges will be handled at the club. You can enable or disable online recharge at any time if you decide to change how you manage wallets.

How to Recharge the Club's Default Wallet

  1. Preset Recharge Type:
    • Go to the customer's profile and open the Wallets section.
    • Click on +Add balance.
    • Choose the Club’s default wallet and a preset recharge option.
    • The amount, price, and description will appear automatically.
    • Optionally, add a private comment and mark the recharge as paid.
    • Click on Add balance.
  2. Custom Recharge Type:
    • Go to the customer's profile and open the Wallets section.
    • Click on +Add balance.
    • Choose Custom and enter the amount.
    • Optionally, add a private comment and mark the recharge as paid.
    • Click on Add balance.

After recharging, you'll see the wallet balance and any comments in the customer's profile.

🚨Note: By default, recharges are marked as paid. We recommend recharging only once payment is done so it appears in the Payments list and reports. You can switch off Paid to exclude it (e.g., when gifting balance).

Adding and Removing Balance from Club Wallets

  1. Adding Balance:
    • Go to the customer's profile and open Wallets.
    • Click on Recharge for the desired wallet.
    • Choose Preset or Custom recharge type.
    • For Custom, enter the amount and a comment if needed.
    • Click on Recharge wallet.
  2. Removing Balance:
    • Follow the same steps as adding balance, but enter a negative amount.
    • Click on Recharge wallet.

🚨 Note: Negative recharges cannot be marked as paid, and preset options aren't available for removing balance.

Creating and Personalizing Club Wallets

Club Wallets act as a payment method within your venue. Players can use them to pay for reservations, products, and services at your club. Here’s how to create and manage Club Wallets:

  1. Create a Club Wallet:
    • Go to Rewards & Offers and click on Wallets.
    • Click on Add new wallet.
    • Enter the Wallet name.
    • Select the applicable sports, activities, or courts.
    • Click Next.
  2. Customize Time Limitations:
    • Choose between All day or Customize options.
    • Click Next.
  3. Add Online Recharges (Optional):
    • Click on New recharge.
    • Enter the recharge name, amount, price, and description.
    • Specify any restrictions (e.g., usable only on weekdays).
    • Click on Add recharge and then Next.

Once created, you can manage the wallet status (active/inactive) in the Wallets list under Rewards & Offers. To prevent players from purchasing the wallet, set its status to Inactive.
