New Revenues, Occupancy & Players Reports for Clubs

Playtomic has introduced the new and improved Revenues, Occupancy and Players reports for your club in Playtomic Manager. These updated reports replace the previous versions and offer enhanced features to help you analyze your club's performance more effectively.

What's New?

The new reports include several key improvements:

  • More flexible date filters: Easier selection of date ranges and comparison periods, with options to view data by day, week, month, or quarter.
  • More flexible filters: Explore data more intuitively and customize your views to focus on what matters most to your club.
  • Click & drill navigation: Quickly move through different dimensions (courts, sports, products) to find key insights.
  • Local language support: Reports are automatically displayed in your club's local language.
  • Expanded Occupancy data: Now includes tournaments and blocked hours for a complete picture of court usage.
  • New metrics: For example, Average Occupied Hours per Court per Day and Number of Courts with Activity in the Occupancy report.

Which Reports Were Updated?

The Revenue, Occupancy and Players reports have been updated with the new system. The Bookings and Others reports have been deprecated, as the new reports provide more comprehensive and accurate data.

Understanding the Reports

Revenues Report

The Revenues report is based on the payment date, matching the logic from your Payments List. This means revenue is recorded when the payment is processed, not when the service is delivered.

Key features:

  • View total revenue with breakdowns by payment method (online vs. onsite)
  • Analyze revenue by product type, court, or sport
  • Compare periods to track growth and trends
  • Download data for further analysis

What is the difference between the "Revenue" and "Amount" metrics?

The Revenues report uses these two distinct metrics:

  • Revenue: Includes all Online and Onsite payments. It excludes payments made using a Wallet as the payment method but includes Wallet Top-ups (as these are new cash inflows).
  • Amount: This is a broader metric. It includes everything in Revenue plus all payments made using the Wallet as a payment method.
  • Use filters to slice this data by Payment Method or Product for the exact breakdown you need.

Important note: Revenue figures show exact amounts. If you see rounded numbers, please refresh your page or contact Customer Care.

Occupancy Report

The Occupancy report provides a complete view of how your courts are being used, including bookings, tournaments, and blocked hours.

Key features:

  • Total occupied hours across all activities
  • Average occupied hours per court per day
  • Occupancy percentage based on courts with activity
  • Breakdown by court, sport, and time period

Important note: The occupancy percentage is calculated based on courts with activity, not the total number of courts in your system. The "Number of Courts with Activity" metric shows how many courts had at least one activity during the selected period.

Players Report

The Players report gives you aggregated insights about the players who visit your club. It focuses on how many unique players you have, how often they come back, and how they interact with your activities.

Key features:

  • Track the total number of unique players over a selected period
  • Understand player behaviour across bookings, tournaments, leagues and other activities
  • Compare periods to identify growth or retention trends
  • Filter by sport, product or location (for multi-club organizations) to see where your players are most active

Data Updates

Reports are updated every hour, not in real-time. If you make changes to bookings or payments, allow up to one hour for the data to reflect in the reports.

Data is mutable, meaning it can change even for past dates if you modify or cancel bookings or payments for those periods.

Comparing Periods

The reports offer flexible comparison options:

  • Previous period: Compares to the same number of days immediately before your selected date range
  • Same period last month: Compares to the same dates in the previous month
  • Same period last year: Compares to the same dates in the previous year

Note that different comparison methods may show different percentage changes, especially when months have different numbers of days.

Downloading Data

You can download data from the reports using the export functionality. Keep in mind:

  • Downloads are limited to the data visible in your current view and filters
  • For large data extractions or custom reporting needs, we recommend using the Playtomic API
  • Historical data availability depends on when your club started using the Payments List feature

What's Not Included Yet

  • Player-level details: Revenues and Occupancy reports show aggregated information for your club (for example by date, court, sport, or product). If you need to see information for individual players or specific payments, please use the Payments section in Playtomic Manager or your API integration.

Organization-level Reports

Organization-level Revenues and Occupancy reports are now available, allowing multi-club organizations to view consolidated data across all their locations.

We'll continue to improve all reports with additional features and metrics based on your feedback.
