In Playtomic Manager, you can either create a recurrence of tournaments to set up multiple sessions at once, or create a single standalone tournament. While we've covered how to create recurring tournaments in a separate detailed article, this guide focuses on creating individual, one-time tournaments. The process is straightforward and shares many similarities with the recurring option, with just a few key differences in the setup flow.
How to Create a One-Time Tournament
- Navigate to the Tournaments/Programs section in Playtomic Manager
- Click Create series
- Fill in the General Information:
- Name: The title of your tournament
- Sport: Select either Padel or Tennis

Visibility:
- Public: Any Playtomic player can join
- Private: Only invited players can sign in

Enrollment Type:
- Single: A team of 1 player
- Couples: A team of 2 players
- Organizer: Optionally assign a staff member to manage the tournament
- Configure the Schedule:
- In the Recurrence field, select "Does not repeat" (this is the key setting that makes it a one-time tournament instead of a recurring series)
- Set the start date, time, and duration for the tournament
- Define the registration deadline and cancellation policy. Once the registration deadline has passed, it cannot be changed.

- Set Restrictions:
- Min/Max Players: Set the minimum and maximum number of players allowed in the tournament
- Gender: Choose whether the tournament is open to all genders, or restricted to male or female players only
- Level Restriction: Decide whether to enforce level requirements. If enabled, set the minimum and maximum skill levels allowed
- Configure Price:
- Set the activity price per player
- You can also configure custom pricing so that club members or players in specific categories enjoy special discounted rates
- Select Courts:
- Choose the courts you want to include in the tournament
- Once selected, these courts are automatically booked in your calendar

- Poster: The recommended size is 1142 × 1600 pixels, and maximum 3MB
- Review your settings and click Finish to create the tournament session
Changed Your Mind? Convert a One-Time Tournament to Recurring
If you originally created a single tournament but now want it to repeat, you don't need to start over. Simply add more sessions to turn it into a recurring series:
- Open the tournament from the Series list
- Click Add sessions
- Define the new sessions (schedule and recurrence.)
- The new sessions will be added to the existing series

You can set custom prices based on category or membership when creating a tournament.
The system calculates the correct price automatically at registration, whether it's an individual or doubles entry—each player is handled separately.

All tournament features are now available on mobile. You can create, edit, and manage tournaments and players directly from your mobile devices.
Add a Player to a Tournament and Mark It as Paid
When adding players to a tournament, you can now register their payments directly. Payment can be marked as complete using onsite payment methods or the club wallet (provided the player has sufficient balance).
Tournament Cancellation Rules
Club managers are able to remove or add players on a tournament even after the registration deadline has passed, until it reaches the end date for the tournament. Once a player is removed, a refund will be processed and delivered within 5-10 working days to the same payment method.
