The Schedule is the heart of Playtomic Manager, offering a clear picture of how busy your club is each day 📊. Here's a simple guide on how to maximize its use:

Overview and How It Works

The Schedule provides a daily snapshot of club activities, starting with today’s date but allowing you to navigate to any day of the month. You can also filter activities by sport or court type.

New Schedule Look

The revamped calendar offers an intuitive way to manage bookings, matches, leagues, tournaments, classes, and courses. Here’s what you’ll find:

• Regular and Recurring Bookings, Open Matches:
  • Title is displayed (if applicable), if not, Owner's name
  • Start and end times
  • Red chip (for unpaid or partially paid)
  • Dot (private or public note)
  • An icon for booking containing "extras"
• League Matches:
  • Team's name
  • Start and end times
  • Dot (public note)
• Private and Course Classes:
  • Coach's name
  • Start and end times
  • Coach's photo
  • Black chip (for unpaid or partially paid)
  • Dot (private or public note)

Identify Unpaid Reservations

Unpaid reservations are clearly marked with an "Unpaid" tag, making them easy to locate and manage 🔍.

Court Blocking Functionality

Create dedicated blocking reservations for courts when they are not available for use:

Maintenance Management: Block courts during maintenance periods
Weather Closures: Easily mark courts as unavailable due to rain or other weather conditions
Statistical Accuracy: These blocks are not counted in occupancy statistics, ensuring your data remains accurate

Automatic Court Blocking for Tournaments/Programs & Clinics

Simplify tournament management with automated court reservations:

Automatic Blocking: When creating a tournament, the system automatically reserves the necessary courts
Automatic Unblocking: If a tournament is cancelled (manually or automatically), courts are released
Hardware Integration: For clubs with hardware integration, access codes are generated and lights turn on automatically

Quick Reservation Creation

Streamline the booking process:

Sport-Specific Duration: When selecting a slot in the calendar, the default event duration matches the standard for each sport
Time-Saving: For example, padel reservations are set to 90 minutes by default, making it easier to create reservations with minimal effort

Enhanced Filtering Options

Powerful filtering capabilities to easily identify specific events:
1. Unpaid Events Filter:
- Quickly identify all unpaid events in the calendar
- Highlight unpaid reservations with a single click

2. Player Search:
- Find player bookings by typing their name, email, or phone number 
- Instantly see which court and time they are scheduled to play 
- Eliminate the tedious task of manually searching through the day's events

3. Coach Class Filter:
- Use the search function to locate a specific coach's schedule
- View all classes a coach has scheduled for the day
- Visual support with the coach's photo displayed in each class

4. Extras Booking Filter
- Highlight reservations that include booked extras with a single click
- Improve planning and service provision

5. Note Content Search
- Search for specific content within event notes
- Type the content in the search bar to highlight matching events

Access critical information instantly with enhanced hover functionality:

Payment Status: See whether a booking has been paid
Categories and Memberships: View player membership information
Booking Price: Check the price of each reservation
Notes: Read any notes associated with the booking

Recurring Reservation Title Visibility

Titles of recurring reservations are now displayed directly in the schedule block
Easily identify recurring events without additional clicks
 

Search in the Schedule

The search bar makes it effortless to locate bookings in your schedule. Simply enter the customer's name, and the corresponding booking will be highlighted, while all other bookings will appear in grey. It's a quick and easy way to find exactly what you're looking for!
