Club Membership Feature

With the Membership feature, you can set up exclusive memberships that offer players specific advantages within your club. You have the option to charge a monthly or yearly fee, which is automatically billed to the player based on their purchase date.

Note: Memberships can only be purchased via the Playtomic App.

How to Create a New Membership

  1. Navigate to the Customers Menu:
    • Go to the Categories tab.
    • Click on the +New Category & Membership button.
  2. Select Membership:
    • Choose Club Membership from the options and click on Next.
  3. Read the Terms and Conditions:
    • Carefully read the special terms and conditions for the Club Membership feature.
    • When finished, click Next.
  4. Configure Membership Benefits:

    • Here you can set up various benefits for the membership. Consider these key sections:

  5. Choose the Pricing Type:

    • There are two pricing options, and this choice is final once saved.

    Simple Pricing:

    • Offer types for special pricing include:

      • Amount discount
      • Percentage discount
      • Price per hour
      • Price for all bookings

      Additional Settings:

      • Value: Set the value related to the offer type.
      • Round to the nearest euro: This rounds the final price, but cannot be used with "Price for all bookings."
      • Courts: Specify which courts the discount applies to.
      • Days: Set which days the discount is available.
      • Time limitations: Define start and end dates/times for the discount.

    Advanced Pricing:

    • Allows for different rules based on day and time, overriding already defined prices. Check general prices from Settings > Pricing before setting advanced prices.
  6. Save the Membership:
    • Click on Next/Create to save all the information.
    • A confirmation message will appear, indicating the membership has been created.
  7. Activate the Membership:
    • Go back to the Category list. You’ll see the new membership highlighted in green.
    • To make it available for purchase, open the Membership and change its status to Visible. Confirm when prompted.

After Activation

Once the membership is visible, players can purchase it from the Membership tab on your club's page within the Playtomic app.

Important Considerations

  • Purchasing: Players can only purchase memberships through the Playtomic app. You cannot manually add a player to a membership.
  • Cancellation: Players can cancel their memberships anytime via the Playtomic app.
  • Revoking Membership: You can revoke a membership anytime through the player's profile in Playtomic Manager.

How to Refund a Revoked Membership:

  1. Manually at the club (Cash or Club Wallet).
  2. Contact Playtomic Customer Care via chat for assistance.
  3. Opt not to provide a refund. This decision is up to you.

Note: If a membership is cancelled, it remains active until the end of the current subscription period.
